- Business name
- Trade type or industry (e.g. plumber, electrician, carpenter)
- Number of employees or business size
- Postcode or general location within Western Australia
- Service requirements and job enquiry details provided during consultations or onboarding
Communication Data
When ZeroAdmin's AI voice assistant service is active on behalf of a client, we may process communication data including:
- Records of calls handled by the ZeroAdmin AI assistant on behalf of our tradie clients
- Call transcripts, summaries, and job enquiry details captured during AI-handled calls
- Messages and enquiries submitted by end customers of our tradie clients through ZeroAdmin's service
This communication data is processed on behalf of our tradie clients and is used solely to deliver the ZeroAdmin service. End customers whose calls are handled by ZeroAdmin will be notified at the start of each call that the call is being managed by an automated system.
Usage Data
We also collect Usage Data automatically when you visit our website, including your IP address, browser type and version, pages visited, time and date of visit, and time spent on pages.
You do not have to provide us with your personal information. However, if you choose not to, we may not be able to provide you with our services or keep you informed about ZeroAdmin's early access program.
How Do We Collect Your Personal Information?
We collect your personal information directly from you when you:
- Submit our waitlist or early access sign-up form on zeroadmin.au
- Book a call with our team through our website booking form
- Interact with us by email or other electronic communications
- Participate in surveys or customer research interviews

How Do We Use Your Personal Information?
We use personal information for purposes connected with our functions and activities, including:

Direct Marketing and Email Communications

- Google LLC — we use Google Workspace for email communications and Google Analytics (GA4) for website analytics. Google may process your data on servers located in the United States.
- Vercel Inc. — our website is hosted on Vercel's infrastructure, which may be located outside of Australia.
- Formsubmit.co — used to process and deliver website form submissions to our team. Formsubmit may process data on servers located outside Australia.
- Professional services advisors — legal and accounting advisors where necessary.
- Law enforcement or government agencies — where required or authorised by law.
We do not sell, rent, or trade your personal information to third parties.
Transfer of Personal Information Overseas
Some of the third-party service providers we use — including Google and Vercel — are based in or have servers located outside of Australia, primarily in the United States.

- Using Google Workspace for email, which provides enterprise-grade security and encryption at rest
- Hosting our website on Vercel infrastructure, which maintains SOC 2 compliance
- Regular review of our systems and third-party service providers
- Access controls limiting data access to personnel who require it to deliver our services
Call data and transcripts processed through ZeroAdmin's AI voice assistant are stored securely and accessible only to the tradie client on whose behalf the call was handled. This data is not used for any purpose other than delivering the agreed service.
Please be aware that no method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially reasonable means to protect your personal information, we cannot guarantee its absolute security.
Retention of Personal Information
We will not keep your personal information for longer than we need to. In most cases, this means we will retain your personal information for the duration of your relationship with us and for a reasonable period afterwards to handle any follow-up matters or comply with legal obligations.
When your personal information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to securely delete or permanently de-identify it.
If you request deletion of your personal information, we will action this within 30 days unless we are required by law to retain it.
How to Access and Correct Your Personal Information
ZeroAdmin will endeavour to keep your personal information accurate, complete and up to date.
If you wish to access or correct the personal information we hold about you, please contact us at hello@zeroadmin.au. We will respond to your request within 30 days. We may require proof of your identity before releasing or correcting personal information.
We will not charge a fee for access requests, although we may charge a reasonable administrative fee for providing copies of information in certain circumstances.
